Build the system behind the story.

Overview
Polished had a mature podcast property with an existing audience, archive, guests, and publishing history. The communications problem was no longer simply creating episodes. It was maintaining a reliable system that could move each conversation from recording through edit, accessibility, publishing, and promotion without losing the voice of the organization.
Zoe Comm worked inside that system, supporting podcast production and operations in Libsyn, episode assets, captions, RSS publishing, promotional coordination, and the handoffs between Polished's internal team and Zoe Comm.
By fall 2021, Zoe Comm's team described the podcast as the core ongoing responsibility for the Polished account. That is useful evidence of sustained operational ownership rather than a one-off campaign.
The operational question
What does it take to keep a content property moving every week?
A recurring podcast creates a deceptively complicated communications workflow. Guest audio has to become a finished episode. Titles, descriptions, captions, graphics, teasers, links, approvals, publishing dates, and distribution all have to arrive in the right order. One missed handoff can stall the entire release.
The work with Polished increasingly became about building reliability around that process. The goal was to make the podcast easier to operate, easier to publish consistently, and easier for the internal team to understand and use.
What we built
A publishing system around the content.
- Record
- Edit
- Caption
- Publish
- Promote
Production pipeline
- Edit and prepare podcast audio for release
- Coordinate episode timing, assets, guest information, and approvals
- Create short-form teaser audio to support social promotion
Accessibility
- Build captions into the publishing workflow
- Treat accessibility as part of episode preparation, not a separate afterthought
Publishing + distribution
- Manage episode uploads in Libsyn
- Maintain RSS publishing and distribution handoffs
- Support show-note links and episode metadata
Promotion + coordination
- Coordinate podcast graphics, captions, and social timing
- Work across Polished and Zoe Comm team members to keep releases moving
- Adjust release timing around larger organizational moments such as BOLDLY
Why it mattered
Good content needs an operating system.
This case is useful because the value is in the infrastructure. A podcast can have strong guests, a loyal audience, and years of history and still become difficult to sustain when the operating system around it is inconsistent.
Zoe Comm helped make the recurring work visible, repeatable, and easier to hand off. That is the same communications-infrastructure problem we now see in much larger organizations: the quality of the public output depends on the system underneath it.
